CERTS System  

CERTS is made up of two parts. First the certificate tracking and renewal notification section,
where users insert Supplier/Contractor information and create renewal letters. Second there is a separate module containing administrative functions.

CERTS requires that Microsoft Access and Word be installed on the users computer in order to operate.

Note.. CERTS uses the term Supplier to mean any type of contractor, vendor, tenant, or service provider

Acord Form
The The main input screen looks very much like the standard Acord Form. This makes data entry extremely easy
and much less error prone.

When coverage is insufficient the field names will display a RED background

However when needed you may indicate that coverage is not required by simply clicking on the field name. This turns the field gray and indicates to CERTS that coverage is not required on this Supplier for this item.
   
When insurance companies fail to meet the minimum required level they will also be flagged in RED

A drop down on each coverage field lets you quickly select dollar values from a standard list (This standard list is under your control)

Contract types specify coverage requirements and determine what text paragraphs will go into the renewal letters.

Letters
Automatic letter generation is kind of the backbone of the CERTS system. There are paragraphs which define coverage requirements and letter templates into which these paragraphs are inserted. All letters and paragraphs are developed using Microsoft Word. These letters reside in Microsoft folders, so its easy to get to them for editing.

Because CERTS uses Microsoft Word, letter development and maintenance become relatively easy with a word processor that most people already know. And you end up with quality letters you can be proud of.

 
Lets say you have three paragraphs like the following:

Letters are printed in batch mode. By that we mean that all letters that are due by a selected date will be printed
at one time. You may print address labels or envelopes to go along with these letters.
 
Since paragraphs cover all requirements they will not work for non-compliant letters. Instead CERTS provides
a table like list of missing or insufficient coverage.
 
          
 
There are many other features available with CERTS letters. For instance you can have your letters simply print the requirements without the use of paragraphs, or send letters to the producer, and even add special comments on an individual letter before sending it. You can even send renewal letters via email. And there are many more features not mentioned here.

Main Screen

The main control screen is composed of a number of tabs for selecting different information on a giver supplier.
A drop down selection field lets your pick the Supplier you wish to view or modify.

Requirements

Operating System : Windows XP or higher
   
Software: Office 2002 or higher (with Access, Word and Outlook)
Note.. must be the same version (all 2002, 2003, 2007, or 2010.)
   
Hardware: Pentium III or higher with 256 meg RAM or higher
About 12 megs of Program and 4 megs per 1000 Suppliers
   
Recommended: Quality printer (600 dpi minimum)
19" or larger monitor
